Implemented within the software for the Kinderspot parent app is a booking cutoff that does not allow for spot offers or rentals within 3 business days of the upcoming calendar week. From a family's perspective, the upcoming week will appear in red for all spot offers and any open rental availabilities. If clicked on, a message will display, directing them to contact the CDC for further assistance.

When a family reaches out to the CDC with a situation like this, the reservation will need to be accommodated in-house, rather than within Kinderspot. While Kinderspot will be a helpful tool during the process, there are no actions to be completed within the Admin Portal during the in-house accommodation process.

Please use the following steps in order to accommodate any last-minute child care needs in-house:

• Use Kinderspot to verify an available weeklong space that meets the renter's criteria.
• Ensure the program can meet short-notice requirements for the incoming child: a space is available to rent; immunizations are current or can be obtained within 30 days; and, if applicable, documentation from a medical provider covers any allergies or special needs. This list is not exhaustive. Ensure the child's needs can be met in the short timeframe.
• Alert the space owner to confirm the rental is still available; because of the three-day cutoff, some owners may assume their space will not be rented and may arrive at the start of the week.
• Confirm the reservation with the renting family.
• Notify classroom and kitchen staff that an incoming renting child will attend at the start of the week.

This list includes offerings, rentals, cancellations, and adjustments to verification statuses. At the top of the page, you have the option to expand the timeframe of transactions you are viewing, as well as the option to filter by child name or transaction, or event, type.

Through Timeline view, you are able to click on any of the hyperlinked names and navigate to the family's account overview. This account overview can also be found through the Sublets page, by either using the search function or clicking on the parent's hyperlinked name.

Filtering functionality is also available on the Sublets tab and within a family's account view.

How do I know who initiated the cancellation?

This section is intended to outline potential cancellation scenarios, the party responsible for payment, and the related email notifications that are automatically sent out.

• Click on the Account Holder’s name(s) to email them or view their user account for the Kinderspot Administrator's assigned location

View & Confirm Rentals in Detail

 Using the arrows on either side of the date, you are able to toggle the month you are viewing. It is important to ensure that both children fall into the designated age range, confirming that no mistakes were made during the offering or rental processes. A search function to view family accounts and filtering options are available for more in-depth details.
 If you have questions for either the renter or spot holder, their email addresses (and phone numbers, if submitted in app by parent) are provided on each reservation.

Filter & Search

The filter function allows for you to filter the sublets view by searching name (family name or child's) or by age range.

The search function provides the capability to search for a family and review their verifications & transactions.

Cancellations by Admin

 Kinderspot Administrators have the ability to initiate cancellations, either on behalf of the Spot Holder or the Renter, if applicable.

• Processing of paperwork is meant to be handled through current processes or through the upcoming implementation of the Air Force Child and Youth Programs Business Modernization System (CYPBMS)
• Processing of payment for the rental will be handled by the CDC

If you are unsure of whether a process is handled by Kinderspot or through the CDC, please reach out to kspot-help@oddball.io and we are happy to help.

From there:

1. Click the Login button
2. Click "Forgot Password?"
3. Enter your email address and click the Submit button (Note: this must be the same email address used in the email sent to you)

This will take you through the forgot password process, which is what you'll use to set your password for the first time. Please note that passwords must be at least 8 characters in length, contain an uppercase letter, a number, and one of the following special characters: @$!%*?&.

Once you have set a password, you can sign in at any time by navigating to the Kinderspot Admin Portal: https://admin.prod.kinderspot.teambespin.us

In order to complete this process, we request email authorization from the Director of the CDC you need to view through the Kinderspot Admin Portal. Please have this email sent to kspot-help@oddball.io in order to complete this adjustment.

I have started working at JBER Sitka but when I log into my Kinderspot Admin Portal, I am still seeing Denali. I have CC’ed my Director to approve this change.


Once authorization has been received, we are able to promptly action the location change as necessary.

If the CDC Director is not available to provide the approval, or in the case of approving new CDC Directors, the Flight Chief can be CC'ed in their place.

Manage Enrolled Children

 Once you verify that a child is eligible for enrollment at your CDC, they move into the Enrolled tab. If a child leaves your CDC, this tab is where you can Unenroll them, and they will no longer be able to offer their spot.

 The Fee Year Rentals column can be used to see how many weeks have been offered for each enrolled child within the current fee year. Once a family has successfully rented out their spot for the allotted 12 weeks within each fee year, the 'Research' option will turn red as a notification.

 It is important to note that this only tracks offerings made within the Kinderspot software; if any 'in-house' accommodations are made, they will not be listed within the 'Research' function and must be tracked separately.

Note: When toggling a status from Enrolled to Not Enrolled, be sure to review any potential upcoming rental activity. If a child has an active rental week that is within 3 business days of the time you unenroll them, that rental must be honored. All other rentals will be cancelled.

Manage Children Not Enrolled

 If a child is not enrolled at your CDC, and you indicate that on Pending Approval, they will be moved to the Not Enrolled tab.
 If you make a mistake when verifying a child, and they are moved to the Not Enrolled tab, you can move them by clicking the Enroll button.

Manage Verified Children

 Once you verify a child, their name moves into the Enrolled tab. If a child becomes ineligible, you can revoke that verification by clicking the Unenroll button.

Note: If a child has an active rental week that is within 3 business days of the time you mark them Unenroll, that rental must be honored. All other rentals will be cancelled.

Manage Not Eligible Children

 If you realize after processing paperwork that a child is not eligible to rent, and you indicate that by selecting Unenroll, they will be moved to the respective tab.
 If you make a mistake when verifying a child, and they are moved to the Not Enrolled tab, or their status changes, you can move them back into the Enrolled tab by clicking Enroll.

 This area will show the names of any children who are deleted by a family via the Kinderspot parent app
