Booking Cutoffs & In-House Rental Process
Implemented within the software for the Kinderspot parent app is a booking cutoff that does not allow for spot offers or rentals within 3 business days of the upcoming calendar week. From a family's perspective, the upcoming week will appear in red for all spot offers and any open rental availabilities. If clicked on, a message will display, directing them to contact the CDC for further assistance.
When a family reaches out to the CDC with a situation like this, the reservation will need to be accommodated in-house, rather than within Kinderspot. While Kinderspot will be a helpful tool during the process, there are no actions to be completed within the Admin Portal during the in-house accommodation process.
Please use the following steps in order to accommodate any last-minute child care needs in-house:
- Use Kinderspot to verify an available weeklong space that meets the renter's criteria.
- Ensure the program can meet short-notice requirements for the incoming child: a space is available to rent; immunizations are current or can be obtained within 30 days; and, if applicable, documentation from a medical provider covers any allergies or special needs. This list is not exhaustive. Ensure the child's needs can be met in the short timeframe.
- Alert the space owner to confirm the rental is still available; because of the three-day cutoff, some owners may assume their space will not be rented and may arrive at the start of the week.
- Confirm the reservation with the renting family.
- Notify classroom and kitchen staff that an incoming renting child will attend at the start of the week.
